Estate Office Manager
We are pleased to offer the position of Office Manager in the beautiful surroundings of
Strathconon Estate.
In this role, you will be responsible for the day-to-day management of the Estate Office,
ensuring it runs efficiently and effectively, with support from the Admin Assistant. The Office
Manager will work closely with the Estate Manager, individual departments of the business,
contractors, and professional advisors.
We are seeking an experienced colleague who can provide professional office management
skills to support the business, enabling the organisation to deliver high-quality services in an
efficient manner.
Our ambitions are high, and this position is critical in supporting a large estate and busy team
as we strive to achieve our objectives of delivering a wholehearted nature restoration project.
This position reports to Strathconon Estates Limited and the on-site Estate Manager.
Key Duties and Responsibilities
Office & Finance Management
• Manage accounting and finance procedures, including bookkeeping, invoicing, expense
administration, lease renewals, and payroll collation.
• Assist the Estate Manager and others with cash flow forecasting and annual budgets.
• Perform HR duties, including employee contracts, benefits, holiday tracking, and GDPR
compliance.
• Oversee annual insurance and service agreement renewals.
• Provide local IT support for company devices, including setting up licenses and
supporting new employees.
• Maintain overall responsibility for administration and accurate record-keeping.
People Management
• Represent the culture and values of the Estate/Earthkeeper, fostering an open and
team-focused work environment.
• Demonstrate a clear understanding of the company's values and vision and how the
Estate contributes to them.
• Work closely with the Admin Assistant, managing their workload and tasks.
• Contribute to and attend staff meetings.
Vehicles & Equipment
• Assist in the procurement of new vehicles and equipment.
• Ensure records of all Estate vehicles, equipment, and machinery are maintained,
including fuel usage and mileage logs.
• Liaise with staff to ensure all vehicles are legal and roadworthy, including taxation,
MOTs, servicing, and insurance.
Health & Safety
• Compliance with the requirements of the Health & Safety at Work Act 1974 and related
legislation
• Overseeing the implementation of the company Health & Safety policy
• Arranging training and PPE/ staff clothing
